Reporting to the Team Lead, Client Services (CPUx), the Administrator position is accountable for ensuring that excellent customer service is provided to both external and internal clients. This position must be flexible to work at a number of our Specialty Desks in accordance with current Desk Operation Procedures, processes and required time frames.
RESPONSIBILITIES:
Responsibilities could include, but are not limited to:
Working on Client meeting data in our inhouse systems
Preparation of RADAR work order.
Update Systems for regulatory notices.
Send searchcards, prepare treasury orders, prepare reports, ballots, proxy tabulation, and final reports all in accordance with client's requirements.
Ensure all scheduled critical activity dates and legal deadlines are met.
Ensure all matters requiring clarification are addressed as soon as possible, and no later than prior to legal deadline.
Ensure critical activities are followed up with clients or RM, as applicable prior to delivery and filing deadlines.
Ensure final reports are submitted to the client within one week of the meeting date.
Co-ordinate efforts of contract staff brought in for Proxy Season.
Ensure billing for meeting services captured and submitted within one week of the meeting date in accordance with Financial Objectives.
QUALIFICATIONS:
Post Secondary business, finance or administration courses or studies preferable.
Minimum 1-3 years administrative experience, preferably in stock transfer/securities industry or equivalent combination of education and experience.
Ability to manage time and prioritize tasks to meet deadlines.
Ability to think strategically, identify problems and find solutions.
Intermediate level of experience or training on PC applications, such as word processing, Excel, email, in-house systems.
