ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Answers telephone calls that are received through the switchboard and directs call to the appropriate individuals and/or takes messages.
Greets walk-in clients, accepting their drop-offs and/or referring them to the appropriate individuals, if necessary.
Coordinates and orders messenger pick-ups and deliveries, and prepares packaging as needed.
Maintains procedures for position and updates desk manual when needed.
Schedules conference rooms and orders food/supplies for meetings as needed.
Prepares conference rooms for meetings as directed, including purchasing materials such as poster board, easel, markers.
May provide low level administrative support to managers.
May assist with data entry.
Keep a log for any equipment that needs to be monitored.
Process all assigned special purchase requests
Coordinates with various units within CCS and with any Vendors that CCS purchases supplies
Monitors all supplies and order as needed on a weekly basis for the Burr Ridge office.
Assigns stock codes (sku#) for inventory
Processes all requisitions for assigned vendors within 24 hours
Validates receipt, reviews and confirms deliveries in order to eliminate service failures
Reports any supplier or internal client performance issues to manager in accordance with CCS policies and procedures.
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); and one to two years related experience and/or training; or equivalent combination of education and experience.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
